INFORMATION WE MAY COLLECT

We may collect your name, contact details, business details, enquiry information and communication preferences. If you become a client, we may also collect identification and anti-money-laundering information, financial records, bookkeeping and tax information, bank and transaction data, invoices, receipts, payroll information and other records needed to provide the agreed service. The website may also collect technical information through essential cookies and, where you consent, analytics or other optional cookies.

HOW AND WHY WE USE IT

We use personal information to respond to enquiries, provide quotations, carry out identity and anti-money-laundering checks, enter into and manage client engagements, provide bookkeeping and related services, communicate about deadlines and records, issue invoices, keep appropriate business records, meet legal and regulatory duties, protect the security of our systems and improve the website and services.

The legal bases relied on are taking steps before or performing a contract, compliance with legal obligations, legitimate interests in operating and protecting the business and, where required, consent. You may withdraw consent at any time, although this does not affect earlier lawful use.

WHO WE MAY SHARE IT WITH

Information is shared only when necessary. Recipients may include HM Revenue & Customs and other public authorities; professional, legal, regulatory or insurance advisers; identity and anti-money-laundering providers; banks and payment providers; and trusted providers of bookkeeping, accounting, payroll, email, cloud storage, website and business software. Providers are required to handle information securely and only for the relevant purpose. We do not sell personal information.

INTERNATIONAL TRANSFERS

Some technology providers may process information outside the UK. Where this happens, appropriate UK data-protection safeguards are used, such as adequacy regulations or approved contractual protections.

HOW LONG WE KEEP INFORMATION

Information is kept only for as long as needed for the purpose collected and to meet legal, tax, anti-money-laundering, insurance and professional requirements. Enquiry information that does not lead to an engagement is normally deleted when it is no longer needed. Client records may need to be retained for several years after the relationship ends.

SECURITY

Reasonable technical and organisational measures are used to protect information against loss, misuse, unauthorised access, alteration or disclosure. No online system can be guaranteed completely secure.

YOUR RIGHTS

Depending on the circumstances, you may have the right to access, correct, erase or restrict personal information, object to its use, receive portable data and withdraw consent. You may also complain to the Information Commissioner's Office at ico.org.uk.
